How do I register?

On line at: www.eagagroup.com/schemes/ewfheatingrebate.
Installers cannot register over the phone or by post.

Is there a registration fee?

No, but there is a £50.00 administration fee for each voucher redeemed.

Is there an administration fee?

Yes, there is an administration fee of £50.00 per voucher redeemed. This should not be passed onto the customer. Customers should receive the full £300 discount on the gross amount of their quotation.

How long does it take to register?

It will take approximately 10 minutes to complete the application form. Once the details are verified then you will receive a registration number on screen. Confirmation of this number is also sent to the email address that was specified when registering. The receipt of this registration code confirms that you have successfully registered onto the Heating Rebate Scheme.

How long does my registration last?

Your registration will last for 12 months. If you redeem a voucher within 12 months your registration will automatically renew for a further 12 months from the date of redemption. If you do not redeem a voucher within 12 months your registration will expire and you will need to contact the Heating Rebate Team to renew your registration.

If you are unable to move from page 1 to page 2 of the registration site, a yellow warning triangle will appear to inform which section needs to be amended. Examples of this are:

  • Telephone and fax number must be numeric, no dashes or spaces.
  • VAT number must start with GB and have 9 characters. All VAT numbers start with GB (which must be in capitals).
  • Email address box at present is too short, and will be extended, it will not affect registration.
  • Sort Code is numeric – the system does not accept dashes or spaces in these fields.
  • Account Number - the account number field must have 8 digits. Sometimes account numbers only have 7 digits. If this is the case you need to confirm the 8th digit with your bank, it is normally a zero but we cannot advise where you need to place this as payment is made using this number.
  • Accreditations
    • Gas Safe Register - can be up to 7 digits.
    • OFTEC - needs to be 5 or 6 characters.
      • Company starts with C and then 4 or 5 digits.
      • Individual starts with a letter L,M,N,P,Q,R,S and then 5 digits.
    • NICEIC - can be up to 9 characters.
      • If it starts with D it has 6 digits.
      • If it starts with a number it has 8 or 9 digits.
    • HETAS - needs to be 4 or 5 digits.
    • BRE - can be up to 8 characters.
      • Begins with ELP and either 4 or 5 digits.
    • NAPIT - needs to be 4 or 5 digits.
    • ELECSA - needs to be up to 8 characters.
      • Begins with EPP and either 4 or 5 digits.
    • MCS - needs to be 10 characters.
  • DO NOT PRESS “BACK” ON INTERNET TOOL BAR WHILE REGISTERING.

What paperwork needs to be sent to eaga in order to redeem the voucher?

Once the installation has been completed and the customer has signed their voucher, it is the installer’s responsibility to send the relevant paperwork to eaga in order to redeem the voucher.

eaga require the original voucher/claim form and a copy of the invoice given to the customer which must include the following details:

  • Gross Invoice Amount (quoted to the customer)
  • £300 rebate discounted
  • Discounted Invoice total
  • Customer’s name and address
  • Location and description of works carried out

On receipt of this documentation eaga will process the payment of £250.00. Payment terms are 21 days via BACS.
Eaga will send an invoice to the installer for the £50.00 Administration fee (specifying VAT at Standard Rate) so that it can include this in the VAT return. This will be sent about 7 days after the voucher is processed.
PLEASE NOTE this invoice is for the installers records only – Eaga DO NOT require settlement, as this will be deducted from your £300 Payment.

Can the voucher be used to install fires?

No. The voucher can only be used for the installation or repair of a central heating system.

Can the voucher be used for insulation measures, for example, cavity wall insulation, loft insulation or draught proofing?

No.

What is the minimum value a job can be worth?

£300 (gross value).

Can anyone complete work for customers with vouchers?

No. Only installers registered on the Heating Rebate Scheme can carry out the work. eaga will not be able to pay any installers not registered on the scheme.

When does the customer receive the discount?

A customer must receive the discount at quotation stage. The installer receives the rebate from eaga via BACS after all work is completed and paperwork is processed.

How does an installer calculate the VAT on the invoice?

It is a requirement of the Warm Front £300 scheme that Installers submit a copy of their customer’s invoice detailing the rebate given. This forms part of the eaga verification process prior to payment being released to the Installer.

HM Revenue & Customs state that where the installation is Grant Funded, or part Grant Funded the reduced rate of 5% VAT applies to the grant funded element. Which for the £300 Heating Rebate Scheme is £300, therefore the remaining balance of the job is calculated at Standard Rate.

Can installers use Eaga or Warm Front logos to promote the scheme?

No. eaga and the Warm Front logos should not be used in any promotion documentation you wish to use for this scheme. You can however, mention both eaga and Warm Front in any text.

Is the Heating Rebate Scheme available across Great Britain?

No. The scheme is only available to those who live in an English local authority area.

How do installers obtain a voucher?

Installers receive vouchers directly from the customer. Copies of this voucher must not be downloaded from the website as the customer may not be eligible for the scheme and the voucher will not be processed.

How do customers know if they are eligible for the voucher?

Customers need to call eaga’s Contact Centre on 0800 316 6011 to instantly apply for a voucher. Alternatively, the Heating Rebate Scheme leaflet can be completed by the customer and sent into eaga. In both cases, the voucher will then be sent out to the customer by post. The Installer hot-line team are unable to take applications from customers or installers.

Who should an installer contact if they wish to tender for the full Warm Front Grant scheme?

eaga plc is principal contractor to DECC to administer the Warm Front Scheme. Due to the source and value of the Scheme funding and our contractual obligations we are obliged to source our Contractors via Competitive Tender in accordance with EU Procurement Legislation.

Unfortunately the deadline for expressing interest in the new installer contracts for Warm Front closed on 24th November 2008, we are unable to accept any further expressions of interest at this time.

Furthermore, we are unable to confirm whether there will be a further tender process, as presently we anticipate that this tender process will provide us contractor coverage up to the end of our contract with DECC.

How does an installer amend their registered details?

To amend any bank details, please write to eaga on Company letter headed paper specifying old bank account details along with new account details to the Heating Rebate Scheme at:

What is my registration number for the voucher?

This is the 4 or 5 digit number given at the end of your registration. This is different to the account number (1261). If you are unsure of your registration number please contact the Heating Rebate Team on 0191 245 8682 or email warmfrontrebate@eaga.com.
